Privacy Policy, Terms of Use, Booking & Payment Terms, and Cancellation & Refunds. Four separate documents, on one page.

Privacy Policy

This policy explains what personal information Black Sovereign Stays ("we", "us") collects through blacksovereignstays.com, why we collect it, and what we do with it.

What we collect

  • Enquiry form details: your name, email address, phone or WhatsApp number, destination, travel dates, number and ages of travellers, departure city, budget range, cabin preference and any notes you write.
  • Booking details, if you proceed: passport information, dates of birth, billing address, GST details if you require a business invoice, and any dietary, medical or accessibility requirements you choose to share.
  • Correspondence: emails and WhatsApp messages exchanged with us.

We do not collect payment card details on this website. Card and bank details are handled entirely by our payment gateway and never reach our servers.

Why we collect it

Solely to respond to your enquiry, design and price your itinerary, make the bookings you authorise, and support you while you travel. We do not sell, rent or trade your information, and we do not send marketing email unless you have separately asked us to.

Who we share it with

Only where necessary to deliver your journey, and only the minimum required:

  • Airlines, hotels, resorts and transport providers you have authorised us to book, including through our booking consolidator.
  • Our payment gateway, to process payments you make.
  • Our form delivery service and email provider, which transmit and store your enquiry.
  • Our accountant and statutory authorities, where required by Indian tax law.

Some of these providers operate outside India. Where your information is transferred abroad, it is transferred only for the purpose of arranging your travel.

How long we keep it

Enquiries that do not become bookings are retained for up to 24 months, then deleted. Booking records are retained for eight years, as Indian tax and company law requires.

Cookies

This website sets no cookies of its own and runs no advertising or analytics trackers. Fonts are loaded from Fontshare and photographs from Unsplash, either of which may log your IP address as part of serving them.

Your rights

You may ask us at any time for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we are not legally required to keep it. Write to [email protected] and we will respond within 30 days.

Security

The site is served over HTTPS. We limit access to your information to those who need it to arrange your travel. No system is perfectly secure, and we cannot guarantee absolute security.

Terms of Use

What this website is

This website is an informational and enquiry site. No bookings are made and no payments are taken on this website. Submitting the enquiry form creates no contract and reserves nothing. A booking exists only once we have sent you a written confirmation and you have paid the amount stated in it.

Accuracy of information

Prices shown as "indicative from" are illustrative estimates for planning purposes only. They are not offers, not quotations, and not held. Travel pricing changes constantly with season, availability and exchange rates. Your actual price is the one in your written quotation.

Sample journeys are examples of itineraries we design. They are not fixed packages and are not sold as shown.

Intellectual property

All text, itineraries, design and code on this site belong to Black Sovereign Stays. Photography is licensed from third-party providers and may not be redistributed. You may not reproduce, republish or commercially exploit any of it without our written consent.

Our role

We act as a travel agent and itinerary designer. Airlines, hotels, transport operators and experience providers are independent suppliers with their own terms and conditions, which apply to your booking alongside ours. We are not responsible for the acts, omissions or failures of those suppliers, though we will always act on your behalf to resolve problems.

Limitation of liability

This site is provided "as is", without warranties of any kind. To the fullest extent permitted by law, we are not liable for indirect or consequential loss arising from use of this website. Nothing in these terms limits liability that cannot lawfully be limited.

Governing law

These terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts of the city in which Black Sovereign Stays is registered.

Booking & Payment Terms

Planning fee

Itinerary design begins on payment of a planning fee of ₹15,000. This fee is credited in full against your final booking value if you travel with us. If you choose not to proceed, the fee is retained as payment for the design work completed. We always confirm the fee with you in writing before any payment is requested.

Quotations

Quotations are valid for the period stated on them, typically 72 hours, because airfares and room rates move. Every quotation is itemised: air, accommodation, transfers, experiences, our service charge, and applicable taxes shown separately.

Deposits and balances

A deposit is payable to confirm a booking. The amount varies by supplier — some airfares and peak-season hotel rates require payment in full at the time of booking. The balance is due by the date stated in your confirmation, usually 30 to 45 days before departure. Bookings are not held if payment is not received by the stated date.

Taxes

All applicable Goods and Services Tax is charged in accordance with Indian law and shown as a separate line on your invoice. Where Tax Collected at Source applies to overseas travel arrangements under the Liberalised Remittance Scheme, it is collected at the rate prescribed at the time of payment, shown separately, and deposited against your PAN. TCS is not a charge by us; it is creditable against your income tax liability when you file your return. Rates are set by the Government of India and may change.

Payment methods

Payments are made by bank transfer or through a secure payment link issued by our payment gateway. We never ask for card details by email, phone or WhatsApp.

Passports, visas and insurance

You are responsible for holding a valid passport with sufficient validity and blank pages, and for obtaining the correct visas. We will advise on requirements and can assist with applications, but we cannot guarantee any visa outcome and are not liable for a refusal. We strongly recommend comprehensive travel insurance covering cancellation, medical treatment and repatriation, purchased at the time of booking.

Cancellation & Refund Policy

Cancellation by you

Cancellations must be sent to us in writing by email. The date we receive your written notice is the date the cancellation takes effect.

Refunds are governed primarily by the cancellation terms of the individual airlines, hotels and suppliers holding your booking. These are set out in your written confirmation and vary considerably — many discounted airfares and peak-season hotel rates are entirely non-refundable from the moment of booking.

Where a supplier refund is available, we will pursue it on your behalf and pass it on in full, less the following:

  • The ₹15,000 planning fee, which is non-refundable once design work has begun.
  • Our service charge on the cancelled booking, which is non-refundable.
  • Any bank, gateway or foreign exchange charges incurred.

Refund timelines

Where a refund is due, we process it within 7 working days of receiving the funds from the supplier. Supplier refunds themselves commonly take 30 to 90 days, and airline refunds can take longer. We will keep you informed of the status.

Refunds are made to the original payment method and in the original currency of payment. Where a foreign exchange conversion is involved, the amount returned will reflect prevailing rates and may differ from the amount paid.

Amendments

Changes to a confirmed booking are subject to supplier availability and charges, plus an amendment fee of ₹2,500 per booking to cover the administrative work. Name changes on airline tickets are frequently treated as a cancellation and rebooking.

Cancellation by us

We may cancel a booking if payment is not received by the due date, or in circumstances beyond our reasonable control including natural disaster, conflict, epidemic, government restriction or supplier insolvency. In such cases we will refund all sums we hold that are recoverable from suppliers.

Complaints

If something goes wrong while you are travelling, contact us immediately — most problems are solvable in the moment and far harder to remedy afterwards. Written complaints should be sent to [email protected] within 28 days of your return, and we will acknowledge within 7 working days.

Note on these documents. They have been drafted using the trading name and country shown on this site. They do not yet include the registered legal entity name, registered address, GSTIN or professional registration numbers — these must be inserted before publication. They have not been reviewed by a lawyer. Please have a qualified advocate in India review all four documents, and confirm your GST treatment and TCS obligations with a chartered accountant, before treating any of this as final.
